I reworked Cubic’s internal business workflows to reduce user error rates by 30% and speed up task completion by 78%

//REDESIGNROLE: UX/UI Designer, DeveloperTEAM: Randy Hoyt, Irena Reddan

The Problem &nbsp;

Cubic's key business functions are based on SAP, an enterprise resource planning software(ERP). Employees from different departments have their own specific processes and workflows in SAP which allows them to get their tasks accomplished. Many of these processes and workflows involve repetitive steps with many different screens to traverse.

In comes SAP Personas, a new tool developed by SAP to personalize SAP ERP screens with scripting capabilities to automate different tasks, greatly increasing the usability of SAP ERP screens.

Gaining Context

As a lead project manager, Randy knew exactly which processes were most tedious and he introduced me to each team in order to learn their workflows and identify their pain points. I started by interviewing the Primary Financial Officers(PFOs) that run the Project Month End Process at the end of each month.
Out of a team of 15, 14 PFOs agreed that this was a major pain point in their month end tasks. All 15 included the words “repetitive” in their responses, although there were a mix of answers regarding which step of the process they felt was the most time consuming. Since the PFOs had different answers when it came to the individual screens they had trouble with, I made a list of each complaint sorted by the times it was mentioned. Below are the most common pain points:
Too many unecessary fields and buttonsSelections for fields would get reset after every useNeed to manually enter a page name in the search bar to access

<img width="8800" height="5031" width_o="8800" height_o="5031" data-src="https://freight.cargo.site/t/original/i/ce45dc63d062c68d1955d6e8a1463326ce5e6ddd9313dffb585d849a34efa3e8/snapshot_mockup.png" data-mid="108632175" border="0" src="https://freight.cargo.site/w/1000/i/ce45dc63d062c68d1955d6e8a1463326ce5e6ddd9313dffb585d849a34efa3e8/snapshot_mockup.png" />
Original snapshot screen

Wireframing and Prototyping

Since the PFOs had extensive experience with their process, we mapped out all the screens and data fields that had to be entered and I created a user flow which connected all the screens and fields into one flow. I worked with them to determine which steps could be automated with Javascript, significantly decreasing the amount of data fields they had to enter and buttons they had to click. I had to play the role of the designer and developer, figuring out which steps should be omitted and how to automate others. At this point in the process we found that participatory design was extremely beneficial to the end product as I needed to ensure that the end product was viable in the business and supported all edge cases in the workflow.

In the end, the PFOs were the only ones using this specific Personas process and their needs should be met with the most optimization. SAP Personas made it really easy to create working prototypes and I had the PFOs test each version and we would meet to see what aspects could be improved on in the next version.

The Redesigned Process&nbsp;
<img width="8800" height="5500" width_o="8800" height_o="5500" data-src="https://freight.cargo.site/t/original/i/e7a7f9d01a95bde0bb11279ebdc987c3b4c4edf1b8c3e07b307cf2b147caab5e/cubic_monthend.png" data-mid="108636517" border="0" src="https://freight.cargo.site/w/1000/i/e7a7f9d01a95bde0bb11279ebdc987c3b4c4edf1b8c3e07b307cf2b147caab5e/cubic_monthend.png" />

The final product was a dashboard which allowed the users to enter the project information once which would then autofill the information too all subsequent screens. All of the screens involved in the month end process are now laid out in a sequential order, making it easier to follow and for new trainees to learn. After the user is finished with each screen, a button will be there to lead them to the next with the information prefilled. This new process reduced the time to complete the month end process by 78%.

<img width="8800" height="5500" width_o="8800" height_o="5500" data-src="https://freight.cargo.site/t/original/i/1ee36d4a33ce0decdba9506101fb5a846845f9785d17a221cd529eb26947ac18/cubic_snapshot.png" data-mid="108636519" border="0" src="https://freight.cargo.site/w/1000/i/1ee36d4a33ce0decdba9506101fb5a846845f9785d17a221cd529eb26947ac18/cubic_snapshot.png" />
Redesigned snapshot screen

The new user interface grouped similar text fields together for clarity and structure and a new color scheme derived from the Cubic branding guidelines. I was limited with what I could do visually due to the constraints of SAP Personas but the finance department provided positive feedback on the new layout of screens and visuals, stating that this would be extremely valuable when training new hires.

Moving forward
Although I’m very proud of the great improvements I was able to make to the month end process, there are still many more opportunites for greater optimization. Since I was working in an extremely small team, we had to move onto other processes, leaving me no time to observe the new workflow in use and see how it works in action on a normal day. Additionally, I had to spend a lot of time training myself on utilizing SAP Personas which at the time was a very new platform and has since received many updates. I’d love to explore the new capabilities of SAP Personas and observe how the users are interacting with the new workflow to gain insight on possible opportunities of improvement.

I redesigned a local tea shop’s online experience to attract a more diverse customer base and increase website engagement

//CASE STUDY
//WEBSITE REDESIGN
ROLE: UX/UI Designer, Researcher
TEAM: Gendarme Docena, Grace Chen, Nancy Zheng
TIMELINE: 3 months

&nbsp;&nbsp;

Problem

ICMonstar is a local tea and dessert shop in San Diego that’s very popular amongst young families. However, despite the many unique offerings and cute characters ICMonstar provides, they struggle to attract the large college student population in the area.

RESEARCH
Meeting the Client

To gain a better understanding of ICMonstar, we spoke with the owner and CEO Jenna, who gave us insights as to the current state of her shop and what ambitions she has for its future. From the initial conversations, we learned that the shop is one of the only ones offering rolled ice cream in the San Diego area. However, ICMonstar’s constantly changing menu and aesthetic has dissuaded her from pursuing the daunting task of developing a website. Jenna is dedicated to building the best business she can and believes that a well designed website will be able to increase sales. Unfortunately she is limited on money and time, juggling two locations and another business at once.
KEY INSIGHTS

ICMonstar separates itself from other cafes with their delightful cast of mascots

There are many other tea and dessert shops in the area serving similar options

The shop realizes that their current branding may be polarizing for potential patrons

RESEARCH
User Interviews
We conducted user interviews with a mix of customers, potential customers, and employees to gain some insight on ICMonstar’s current reputation and their clientele. Below are some initial gatherings from this round of interviews:

An extremely common first impression of the store was “cute”Different age demographics at each location (Millenials and Gen Z frequented the Convoy location)Typical customer behavior: Purchase rolled ice cream(most popular order), find seating, socialize

RESEARCH

Personas

To better target user needs in the redesign and increase empathy with our users, we then synthesized the interview results into the following personas.

RESEARCH

Current Site Analysis
In order to gain a different perspective into which aspects of their business ICMonstar presents to their customers, we analyzed their current website.

ICMonstar’s existing website places a large emphasis on their mascots, making it very family-friendly. Because of this emphasis on mascots, there is a lack of focus on the actual desserts and drinks offered.&nbsp;There are also no pictures of the cafe itself, therefore potential customers are unable to gauge the aesthetics of the cafe before visiting.Many menu items were redundant and the menu itself involved a lot of scrolling while neglecting pricing information, an important factor for many potential ICMonstar customers.
<img width="7292" height="4518" width_o="7292" height_o="4518" data-src="https://freight.cargo.site/t/original/i/a7abe6e5187043119cd9750d9fd973d701b1ccfce3a3bee619b3c4a656d03cf2/ic_OG.png" data-mid="107110116" border="0" src="https://freight.cargo.site/w/1000/i/a7abe6e5187043119cd9750d9fd973d701b1ccfce3a3bee619b3c4a656d03cf2/ic_OG.png" />The original ICMonstar website

RESEARCH
Competitive AnalysisTo gain some insight on what works and doesn’t work for branding, content, and site architecture, we conducted a competitive analysis on websites with a similar menu and market: 7Leaves, Bing Haus, Guiltea Cravings, Kung Fu Tea, and The
Alley. These competitors were chosen as a mix of renowned local and international shops that we felt could give us some valuable insights into their design thinking. After some analysis, we noticed that the different competitors all shared several similarities regarding navigation labels and menu
categorization:
The majority of the cafes had a Menu, Locations, Hours, Social Media, and About page on their websites.Niche features such as merchandise from Kung Fu Tea and catering / fundraising from 7Leaves were noted for
future use on the ICMonstar webpage.Most shops used black and white as their primary colors and reflect their aesthetic through their logo, fonts, and let their photographs take center stage.

DESIGN
Sketches
We started with some initial sketches in order to quickly explore different layouts to iterate on before settling on one design. For these sketches, we focused on the following pages that were essential to the final website based on client needs and ICMonstar’s competitors:
<img width="8800" height="5500" width_o="8800" height_o="5500" data-src="https://freight.cargo.site/t/original/i/622c6d058ee6e654e8ebda41ca20f84698d8f364a96bc6e8227761255c14f3ca/ic_wireframes.png" data-mid="107176445" border="0" src="https://freight.cargo.site/w/1000/i/622c6d058ee6e654e8ebda41ca20f84698d8f364a96bc6e8227761255c14f3ca/ic_wireframes.png" />

DESIGN

Wireframing
Once we were able to focus in on a basic website structure, we started wireframing more detailed mockups, making sure to add features requested by the client as well as making sure to emphasize the aesthetics, savings, and hospitality aspects of ICMonstar.&nbsp;

<img width="8800" height="5500" width_o="8800" height_o="5500" data-src="https://freight.cargo.site/t/original/i/7e99ca654ac71f7b07f5b5a25af5bc58b10f861e71d032611834e38dcd15db2f/ic_wireframes.png" data-mid="107184111" border="0" src="https://freight.cargo.site/w/1000/i/7e99ca654ac71f7b07f5b5a25af5bc58b10f861e71d032611834e38dcd15db2f/ic_wireframes.png" />

RESEARCH

Wireframe Usability Testing

From these wireframes, we began user testing to gain some early insights before proceeding with the prototype. We interviewed some ICMonstar customers and found that there were gaps between the user’s mental model and the conceptual model of our wireframe.&nbsp;

KEY INSIGHTS

Scrolling on the menu page was not immediately obvious due to the prioritization of the image gallery and combosMenu toggle was obscured by the page fold“Image galleries are the first thing I would look at”

DESIGN

First PrototypeDue to a tight timeframe, we had to design without a concrete style guide. Despite this, we were able to quickly focus on function first and to decide on copy and form later. The greatest challenge for me was finding a way to present ICMonstar’s large menu without having the users scroll excessively. To solve this, I divided the menu in two with a toggle for Drinks and Rolled Ice Cream and further categorizing each drink type into an expandable menu.<img width="8800" height="5500" width_o="8800" height_o="5500" data-src="https://freight.cargo.site/t/original/i/a6aabaf208cd7d3815eb023b956405a6cab6b41e6fb68d8087fb36c39cd79eac/ic_proto.png" data-mid="107185966" border="0" src="https://freight.cargo.site/w/1000/i/a6aabaf208cd7d3815eb023b956405a6cab6b41e6fb68d8087fb36c39cd79eac/ic_proto.png" />

RESEARCH

Prototype Usability Testing

After some additional user testing and feedback, we found that many users felt that the prototype came off as slightly uninviting and felt more like a startup’s website rather than one of an ice cream shop‘s. Other users commented on the vagueness of the “Lucky to have you” opening text, making it unclear as to what ICMonstar has to offer. However our expandable menu design was received warmly as users commended its organization and easy navigation, making it easy for them to view the offerings at a glance and expand if needed.&nbsp;

Final Design
&nbsp;

Moving Forward
There are still a plethora of features I wrote down while working on the project that could be added in later iterations. A promotions section is one addition I feel could add user engagement and encourage visitors to take advantage of the current deals and promotions going on, increasing business to the shop.&nbsp;

As for the data on the impact of the new redesigned website, I’d like to monitor the engagement and time spent on certain pages, as well as the click rate of the map with directions to the shop. This should offer a strong lead on how many users have been convinced by the website enough to seek out directions to the shop.

Overall, I had an amazing time working on this project, creating and designing for small local businesses is an impact I wish to have on future ventures.
Thanks for making it to the end of this long read and feel free to contact me if you’d like to hear more or if you’d like to work with me!

Conceptualized and prototyped a self-service pharmacy kiosk to make the medicine pick up process more accessible and efficient
//CASE STUDY//PRODUCT DESIGNROLE: UX/UI Designer, ,Product Designer, Researcher
TEAM: Lam Pham, Ryan Manalastas, Madeline Ng, Julie Fung, Allie Pai
TIMELINE: 3 months

Problem
Many pharmacies today deal with long wait times and unavailability during off hours making it a pain point for those with busy schedules. Additionally, older demographics are hesitant to visit pharmacies due to their language and cultural barriers, often having to recruit their loved ones to accompany them on pharmacy trips, a hassle for everyone involved.&nbsp;RESEARCH
Digging into the problem
I first focused on researching existing pain points within the point-of-purchase aspects of the medical industry. After some diggine, I found several articles detailing the inefficiences of medical office phone and appointment systems, confirming that there are potential improvements to make within the pharmacy visit process. Despite this problem, we found very few examples of pharmacies attempting to address these issues. There are a few pharmacy delivery startups out there but none seem to address the in-store pickup process.

RESEARCH

User Interviews
We decided to conduct some initial user interviews to glean some insights into how the average person feels about their pharmacy visits and their experience with using kiosks.&nbsp;From these initial interviews, we found the following insights:

70% of interviewees felt that their pharmacy visits were either “too long” or “could be shorter”&nbsp;
60% of the interviewees have had experience using grocery store kiosks as well as the Amazon lockersOlder demographics felt that the kiosks should be optional since they felt some hesitation relying on technology to manage their prescriptions

RESEARCH

Storyboarding user journeys
With the data gathered, the team created storyboards to visualize a variety of different user flows and what the desired user experience would entail. Storyboarding was very useful in engaging all members of the team to string together our personas and create a seamless kiosk experience that integrates into users’ lives.<img width="980" height="775" width_o="980" height_o="775" data-src="https://freight.cargo.site/t/original/i/0f95db12eb61a772864d806345148a9c6ccf020bdca4397ffa465a0fbde19356/pharmatestoryboard.png" data-mid="87860485" border="0" src="https://freight.cargo.site/w/980/i/0f95db12eb61a772864d806345148a9c6ccf020bdca4397ffa465a0fbde19356/pharmatestoryboard.png" />

DESIGN
Prototyping
From the initial user research and storyboarding we set out to create some low fidelity prototypes which would allow for rapid iteration and testing. I decided to go with a simple page by page process which would essentially hold the user’s hand throughout the entire kiosk experience.

<img width="606" height="1003" width_o="606" height_o="1003" data-src="https://freight.cargo.site/t/original/i/a064140564a5ffc6be2688cd991833397ada39376bf337dca7bd3d125b94ceee/pharmate_paper2.png" data-mid="109638110" border="0" data-scale="99" src="https://freight.cargo.site/w/606/i/a064140564a5ffc6be2688cd991833397ada39376bf337dca7bd3d125b94ceee/pharmate_paper2.png" />

RESEARCH

Paper prototype testing

I then had three users test out the paper prototypes, allowing me to identify if there were any areas of improvement to be made in the next iterations. From these initial tests there were moments in which the user felt confused and didn’t know what the next step was, making it clear that visual feedback is essential to bridging the user’s gulf of execution and evaluation.

KEY INSIGHTSDue to a lack of clear signifiers, one user swiped their card on the screen instead of the card reader below&nbsp;It was unclear for some on where to pick up the medicine after paymentThe fake price was set to $0 which confused another user, stressing the importance of using real prices to make the testing scenario as real as possible

RESEARCH

Prototype testing
In order to test the physical cardboard kiosk prototype, I observed and interviewed three students who had some experience using kiosks at other stores.

KEY INSIGHTSUsers got confused with the different physical kiosk interactions due to a lack of visual feedbackOne user incorrectly used the universal card reader and left his ID inside until he reached the payment stageThe minimalistic approach led some users to request more information regarding the medication

Final Design

By testing the clickable prototype we were able to gain actual insight on how user-friendly our process was. Although the users made it through our tasks with little to no hiccups and had positive views on the overall process, we still gained valuable insights which led us to focus on two main areas for the high fidelity iteration:&nbsp;

Identification Process
Increased visual feedback by including lights on the physical kiosk once an identification process was chosen<img width="10123" height="3148" width_o="10123" height_o="3148" data-src="https://freight.cargo.site/t/original/i/9438e456e6d166b6e6c8d1fed6e39997510bcbd4a024f43472381186afc9a7ec/pharmate_identification.png" data-mid="113593995" border="0" data-scale="100" src="https://freight.cargo.site/w/1000/i/9438e456e6d166b6e6c8d1fed6e39997510bcbd4a024f43472381186afc9a7ec/pharmate_identification.png" />

Checkout Process
Added relevant information regarding medication uses and availibility<img width="10123" height="3148" width_o="10123" height_o="3148" data-src="https://freight.cargo.site/t/original/i/53731ee574c6f6b3fdd2aa7d7d8edf198026f89b8d86e2c6fe2f1df01fdbf213/pharmate_checkout.png" data-mid="113594541" border="0" src="https://freight.cargo.site/w/1000/i/53731ee574c6f6b3fdd2aa7d7d8edf198026f89b8d86e2c6fe2f1df01fdbf213/pharmate_checkout.png" />

The final cardboard kiosk

Moving forward
Since our kiosk is an optional service for pharmacy visitors, some future steps would be to figure out how to encourage visitors to opt for the kiosk method. Onboarding more users would alleviate wait times and allow pharmacists to focus on their work. 2020 update: with the current pandemic and social distancing, tools such as this kiosk would alleviate contact with others. By placing this kiosk outside and allowing wireless pay and pickup, many visitors would feel much safer when ordering and retrieving their medicine.

Encouraging people to explore California’s national parks by creating a web app to display at a glance information in an easily digestible format

//DESIGN
//DEVELOPMENTROLE: Developer, UX/UI DesignerTEAM: Grace Chen, Katya Noble, Aaron Chen

Point Poppy is a web-based application that gives information about the national parks in California. Currently, people need to create separate Google searches for finding a park to visit, as well as separate searches for information about that park. Our app aggregates searching, exploring, and learning features when people want to visit a California national park. We provide an interactive map with locations of parks and respective park and trail descriptions, trailhead locations, images, weather information, and link for directions in a way that is intuitive to the user and encourages exploring California's beautiful national parks.
